In large companies expense report forms and templates are the norm. Nobody gets reimbursed for anything unless he or she prepares an expense report and gets it approved. Small businesses should adopt the very same procedure. It really helps with good accounting, prevention of abuses and just general transparency of costs.

One of my clients ran into trouble with his bottom line. We had to scrutinize his expenses looking for any savings, no matter how small, to save his company. It turned out he had made so many promises to both his employees and contractors that he forgot all about them and yet they were putting all those expenses through every week without a proper review process.

Also, after an employee leaves the company, it is often impossible to recoup anything. And I see many balance sheets with employee advances still open for people who left the company years ago. All this happens because there is no formal procedure and accounting for both employee advances and business–related expenses.
